Volunteer Coordinator

Oversee all aspects of volunteer engagement. The position will plan, coordinate and supervise volunteer projects, arrange for volunteer support of office work and projects requiring skilled volunteers and establish retention and recognition programs.

Essential Duties and Responsibilities include, but are not limited to the following:

Volunteer Coordination

  • Works with Food Closet Director to design, develop, and implement the Volunteering Program at SSIP, including volunteer recruitment and retention plan.

  •  Recruits, trains, schedules, and retains volunteers.

  • Oversees and supports volunteers during their volunteer shifts.

  • Continually assesses volunteer needs and collaborates with the Food Closet Manager to adjust as

    needed.

  • Identifies and evaluates volunteer skills and strengths to determine their best fit.

  • Evaluates volunteer satisfaction and program effectiveness.

  • Develops and fosters positive working relationships with staff and volunteers.

  • Maintains the volunteer calendar, ensuring that volunteer positions are filled.

  • Supports Committee Chairs by encouraging/enlisting volunteers with related skill sets to participate in

    committee work and help with special events, i.e., Full Plates, Full Hearts, and Volunteer Appreciation

  • Coordinates volunteer appreciation events and activities.

  • Ensures volunteer training and paperwork are current and up-to-date.

  • Manages group volunteering requests, including scheduling and follow-ups.

  • Tracks daily volunteer hours and no-shows, maintaining a volunteer log, at least temporarily in Excel,

    and reporting statistical data.

  • Creates relevant documents and maintains accurate records/files/folders related to volunteers, including

    procedures, trainings, hours verifications, etc.

    Client Intake (Oasis)

  • Oversees the daily client check-in process, and serves as resident subject matter expert (SME) on Oasis, the online client registration system.

  • Maintains client records in Oasis: updates client records with current data, enters new client records, and generates food distribution reports.

  • Performs analytics using Oasis data to garner insights into and trends relating to client behaviors and visitation.

  • Defines and implements the back-up plan for daily client check-in process when Oasis is unable or unstable.

  • Adjusts the daily client check-in process to adhere to approved changes to distribution policies and daily operations.

  • Responsible for scheduling intake volunteers and, when needed, steps in and registers the clients using Oasis.

  • Trains and leads the intake volunteers, known as the Oasis Group, and conducts regular meetings to reinforce best practices.

  • Completes the End of Day activity in Oasis and submits the End of Month feeding numbers to Sacramento Food Bank and Family Services

  • Ensures that all Oasis reports and client change information is securely provided to the Sacramento

Food Bank and Family Services.

  • Maintains accurate records/files/folders, and provides timely reporting of statistical data.

  • Enlists new intake volunteers to maintain adequate coverage and ensures a member pool of 20

    intake volunteers.

Qualifications:

  • Organized and detail-oriented

  • Excellent written, oral and interpersonal skills

  • Bachelor’s degree

  • Minimum of two years prior experience working with volunteers

  • Supervisory skills

  • Proficient in MS Office Suite

  • Experience with database management

  • Comfortable with public speaking

This position requires access to a car and a valid driver’s license, and the completion of the CA Food Handler’s Certificate within 30 days from hiring.

Compensation & Benefits:

Full-Time, Exempt, at will
Salary range: $ 50,000 to 56,000 depending on experience
